We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure a seamless, professional environment. This Office Manager role combines administrative support, client interaction, and light accounting duties, including fleet management, bookkeeping, payroll, and vendor coordination. The ideal Office Manager thrives in a fast-paced setting, takes initiative, and ensures every aspect of the office runs smoothly for both executives and high-value clients.

Responsibilities:

• Ensure smooth daily office operations, including vendor coordination, office supply management, and maintaining the showroom for client visits.

• Handle phone system, answer and route calls, open and distribute mail, and manage outgoing communications.

• Organize meetings and company events, including scheduling, reminders, catering, and logistics coordination.

• Oversee office facilities, including coordinating cleaning services and managing vehicle/equipment insurance and inspection schedules.

• Serve as point of contact for clients building high-value homes, delivering professional and exceptional client experience.

• Proactively identify and resolve administrative and operational issues to ensure an efficient, professional office environment.

• Perform miscellaneous tasks as needed to support the CEO and company operations.

• Perform accounting duties, including accounts payable, accounts receivable, and bookkeeping.

• Administer bi-weekly payroll, manage PTO tracking, onboarding documentation, and open enrollment processes.

Qualifications:

• Proven experience as an Office Manager, Executive Assistant, or Administrative Assistant, preferably within the Architecture, Engineering, or Construction/Development industries.

• Proficiency in Microsoft Office Suite (Excel and Outlook) and QuickBooks Online.

• Strong bookkeeping skills with attention to detail.
