Assistant Director of Admissions

Position Overview

The Assistant Director of Admissions supports all recruitment and enrollment efforts for Valley Forge Military College (VFMC), a two-year military junior college with multiple academic and leadership pathways. This role focuses on outreach, relationship-building, lead generation, and personalized admissions counseling to help students and families move smoothly through each stage of the enrollment process. The position requires strong communication skills, a service-oriented approach, and a comfort level working in a structured, leadership-focused environment.

Key Responsibilities

Recruitment & Outreach

  • Represent VFMC at high schools, college fairs, JROTC units, National Guard events, community organizations, and other recruitment venues.
  • Build strong relationships with school counselors, educators, military partners, and community influencers across Pennsylvania and the broader Northeast.
  • Manage a recruitment territory with clear goals for outreach, inquiries, applications, and enrollments.
  • Lead on-campus tours, virtual presentations, and information sessions that highlight VFMC’s academic and leadership environment.

Admissions Counseling

  • Serve as a primary counselor for prospective students and families, providing clear explanations of admissions requirements, academic programs, and financial aid processes.
  • Offer individualized advising to help students understand program options, timelines, and the enrollment process.
  • Deliver one-on-one and group information sessions, both in person and online.
  • Maintain consistent communication through phone, text, email, and CRM-based workflows to ensure timely follow-up.
  • Assist applicants in navigating required documents, placement needs, and readiness steps.
  • Support families by addressing questions and concerns throughout the entire decision-making process.
  • Collaborate with campus partners in Academic Affairs, Financial Aid, Student Life, ROTC, and Athletics to ensure students receive coordinated guidance.

Application Review & Enrollment

  • Review applications, transcripts, recommendations, and supporting documents.
  • Make informed recommendations for admission based on established criteria.
  • Coordinate with internal departments to ensure students complete all enrollment and onboarding requirements.
  • Guide students through financial aid forms, scholarship steps, medical paperwork, and other enrollment-related documents.

Events & Visit Experience

  • Assist with planning and executing Open Houses, Accepted Student Days, VIP visits, counselor breakfasts, and other campus events.
  • Ensure a welcoming and informative visit experience that reflects VFMC’s academic strengths and leadership culture.

CRM & Reporting

  • Use CRM (HubSpot) daily for contact management, communication tracking, pipelines, tasks, and follow-up.
  • Monitor application and enrollment conversions, providing regular updates to the Director of Admissions.
  • Use data to recommend improvements to outreach strategies and recruitment operations.

Qualifications

  • Bachelor’s degree required.
  • 2–4 years of experience in admissions, recruiting, sales, or related fields.
  • Strong communication and presentation skills, both written and verbal.
  • Organized, self-motivated, and able to manage multiple priorities.
  • Willingness to travel regionally and work evenings/weekends during peak recruitment periods.
  • Comfortable representing a leadership-centered, military-style college environment.

Preferred Skills

  • Experience using HubSpot or another CRM.
  • Background in education or college admissions .
  • Understanding of two-year college pathways and transfer advising.

Other / Special Requirements

  • Engaging, enthusiastic, flexible, and a good sense of humor.
  • Evenings, weekends, and significant travel required (up to 60% travel from mid-August through mid-April).
  • Outstanding written and oral communication skills.
  • Strong ability to organize logistical and operational details.
  • Demonstrated understanding of secondary and higher education markets and environments.
